How We Work: A Behind-the-Scenes Look at Finding Your Next Vehicle

It’s Tuesday afternoon. You’ve got three comparison-site tabs open, a quote that’s somehow gone up since yesterday morning, and one of your drivers has just messaged asking when his new van’s turning up. You don’t know. The broker who took the order has gone quiet.

If that sounds familiar, this post is for you.

What follows is an honest walk through what happens when you bring that job to us instead. No mystery, no sales pitch, just a clear picture of how we find the right vehicle for your business and, just as importantly, what happens after it’s on the drive.

The bit most brokers skip

Before we get to step one, it’s worth saying what makes the biggest difference to how we work.

A lot of brokers go quiet the moment your order is placed. From their point of view, the job’s done. That’s why so many businesses end up chasing updates, ringing dealers directly, and feeling like they’ve been passed from pillar to post once the contract is signed.

We do the opposite. The order is the start of the relationship, not the end of it. That single difference shapes everything below.

Step one: a proper conversation, not a quote form

The first thing we do is talk. Usually on the phone, sometimes over a coffee if you’re local to us in Liphook.

We want to understand your business before we say a word about cars or vans. How many vehicles do you run? Who drives them and what for? Are these company cars used as a staff perk, vans doing real miles every week, or a mix of both? What’s worked well in the past, and what’s caused you grief?

Here’s the question we always ask that most brokers don’t: what does a typical week actually look like for the driver? Not the rough annual mileage they put on the form, but where they go, when, and what they carry. We’ve lost count of the times that conversation has changed the recommendation. A sales manager who “does about 15,000 a year” turns out to do nearer 28,000 once you actually map it out. Sign a contract at 15,000 and you’re looking at thousands of pounds in excess mileage charges at the end. That’s exactly the kind of avoidable mistake we’re here to spot.

We deliberately work with a small number of clients so we have time for this conversation. It’s a bit like having a fleet manager on call, without the cost of employing one. You can read more about the people behind that approach on our about us page.

Step two: shortlisting the right options

Once we understand what you actually need, we go away and do the legwork.

That means looking at vehicles that genuinely fit the brief, comparing funding options, and checking what’s realistic in terms of lead times and stock. Lead times move around a lot, and they vary wildly by manufacturer. Some popular vans are still running at six months or more from order to delivery, while certain in-stock cars can be on your drive in a fortnight. We’ll tell you straight where things stand, so you can plan properly.

We come back to you with a sensible shortlist, usually two or three options, with the pros and cons of each spelled out in plain English. Not 47 search results. Not a wall of acronyms. Just a clear recommendation, with the reasoning behind it.

If the right answer is a different type of agreement than you were expecting, we’ll tell you. For some businesses, business contract hire makes obvious sense. For others, a finance lease or business contract purchase fits better, particularly if you’re running vans and want to keep your options open at the end. Part of our job is to know the difference and explain it without making your eyes glaze over.

Step three: the bit you don’t have to do

This is where most of the hassle of leasing usually lives, and it’s the bit we take off your plate entirely.

Once you’ve chosen a vehicle, we handle the paperwork, the proposals, the funder conversations, the order, the factory updates, the delivery booking, and the chasing when something needs chasing. You get updates from us when there’s something you need to know, and we leave you alone when there isn’t.

A few things our clients particularly value at this stage:

  • One point of contact. You’re not bounced between a salesperson, an admin team, and a funder. You ring us, you get us. One client recently described it as “ringing my dentist” — same number, same person, no hold music.
  • Honest timelines. If a van is going to take four months to build, we’ll tell you that upfront so you can plan cover or extend an existing contract. We’ve seen businesses caught short because their broker quoted a hopeful eight weeks when the reality was double that.
  • No surprise paperwork. We talk you through what you’re signing before you sign it. Personal guarantees, mileage clauses, early-termination charges, all of it. Nobody enjoys reading the small print, but we’d rather you knew what was in it than discovered it later.

It’s not glamorous work, but it’s where a lot of the hours and headaches usually hide. Lifting that off you is most of the reason businesses come to us in the first place.

Step four: delivery and handover

When your vehicle is ready, we coordinate delivery to wherever suits you best, usually your office or the driver’s home address.

You’ll know in advance exactly what’s happening, who’s bringing the vehicle, and what you need to have ready. On the day, the driver does a proper handover, you do the necessary checks, and the keys are yours.

If anything isn’t right, you tell us, and we sort it. That’s what “single point of contact” actually means in practice.

Step five: the part that turns a transaction into a relationship

Once your vehicle is on the road, we stay in touch. Not in a pestering way, but enough that you know we’re there.

We’ll flag things you might not have thought about, like booking a service in good time, watching your mileage if you’re running ahead of the contract, or planning for end of lease well before it sneaks up on you. Mileage in particular is worth a mention. If a driver’s been promoted into a bigger patch and is suddenly clocking double their old mileage, we’d rather restructure the contract early than have you facing a four-figure bill at the end.

When the contract is winding down, we’re already talking to you about what’s next. That might be a like-for-like replacement, a different vehicle because the business has changed, or a shift towards electric. If you’re weighing that up, our electric car leasing pages are a good starting point, and we’ll happily talk through what an EV would actually mean for your specific use case.

This is the bit that turns a transaction into a relationship. Most of our clients have been with us for many years and many vehicles, and what they say about working with us tells that story better than we can. Once you’ve got someone who knows your business, your drivers and your preferences, the next car or van is barely a job at all. You ring us, we say “leave it with us,” and a few weeks later there’s a new vehicle on the drive.

What happens next, if you’d like to talk

The next step is genuinely just a conversation. No forms to fill in, no quote chase, no pressure.

Tell us a bit about your business and what you’re running at the moment. We’ll listen, ask a few sensible questions, and give you an honest view on whether we’d be a good fit. If we are, we’ll take it from there. If we’re not, we’ll say so.

You can drop us a line through the site, or pick up the phone. Either way, you’ll speak to someone who actually wants to understand your business.
